Outreach Workflow — Streamline Your Backlink Submissions

The Outreach dashboard is your command center for systematic link building. Select a project, browse target platforms, submit backlinks, and track progress — all in one streamlined workflow.

What is the Outreach Workflow?

The Outreach workflow combines platform discovery, link creation, and form submission into a single streamlined process. Instead of switching between multiple pages, you can browse platforms, create link records, and submit to platform websites — all from one dashboard.

6-Step Outreach Process

1

Select Your Project

Start by choosing which project you want to build backlinks for. The project selector at the top of the Outreach dashboard lets you switch between your projects. All subsequent actions will be associated with the selected project.

2

Browse & Filter Platforms

Explore the platform directory filtered by category, Domain Rating (DR), dofollow status, and pricing. Platforms you've already submitted to for this project are clearly marked, so you can focus on new opportunities.

3

Click Submit to Create a Link

Found a platform you want to target? Click the "Submit" button to instantly create a backlink record linking your project to that platform. The link is created with "Pending" status, ready for you to complete the submission.

4

Platform Page Opens Automatically

After creating the link record, the platform's submission page opens in a new browser tab. This saves you the step of manually navigating to the platform's website and finding their submission form.

5

Fill the Submission Form

On the platform's submission page, fill in the required fields. Use My Backlink's template system to quickly populate common fields like your product name, description, URL, and other details. Templates with variable placeholders auto-fill from your project profile data.

6

Update Submission Status

After completing the submission, return to My Backlink and update the link status from "Pending" to "Submitted". As the platform reviews and publishes your listing, continue updating the status to keep your records accurate.

Advanced Outreach Features

Category & Status Filters

Filter the platform list by category (AI tools, SaaS directories, startup listings, blogs, etc.) and submission status (not submitted, pending, submitted, published) to focus your workflow. This helps you quickly identify which platforms still need attention for your current project.

Outreach Progress Tracking

The Outreach dashboard shows real-time statistics for your selected project: total platforms available, platforms submitted to, links published, and completion rate. Use these metrics to measure your link building velocity and set outreach goals.

Why Use a Structured Outreach Workflow

Link building without a structured workflow is chaotic and inefficient. You end up switching between browser tabs, losing track of which platforms you've already submitted to, and wasting time on repetitive data entry. A structured outreach workflow like My Backlink's Outreach dashboard solves these problems by consolidating platform discovery, link creation, and submission tracking into a single interface. Research shows that structured workflows can increase link building efficiency by 3-5x compared to ad-hoc approaches. Instead of spending a full day acquiring 5 backlinks, a streamlined workflow lets you process 15-20 submissions in the same time frame — without sacrificing quality.

Planning Your Outreach Sessions

The most productive link builders plan their outreach sessions in advance rather than improvising. Before you start an outreach session, decide which project you'll focus on, how many platforms you want to target (10-15 per session is a good pace), and which platform categories to prioritize. Prepare your templates ahead of time — ensure your project profile is complete so template variables auto-fill correctly. Block out dedicated time for outreach work (60-90 minutes is ideal) and minimize distractions. Having a clear plan for each session means you'll spend your time actually submitting rather than deciding what to do next.

Common Outreach Mistakes to Avoid

Submitting Generic Content

While templates speed up the process, don't submit identical content to every platform. Take 30 seconds to customize each submission — adjust the description to match the platform's audience, mention why your product fits that specific directory, and vary your anchor text. Platforms with manual review processes are more likely to approve submissions that feel personalized rather than mass-produced.

Ignoring Platform Requirements

Each platform has different submission requirements — some need screenshots, others require specific content formats or character limits. Before submitting, check the platform's detail page in My Backlink to understand what fields are required. Incomplete submissions get rejected, wasting your time and potentially getting your account flagged on that platform.

Neglecting Status Updates

Many users create link records during outreach but never update the status afterward. This makes your dashboard data unreliable — you won't know your true approval rate or which platforms have published your links. Build a habit of checking submission statuses at the end of each week and updating accordingly.

Targeting Only One Platform Type

Don't get stuck in a rut of only submitting to startup directories or only AI tool listings. Diversify your outreach across multiple platform categories — business directories, blog platforms, social communities, and niche directories. This builds a more natural backlink profile and reaches different audiences that may convert into users or customers.

Measuring Outreach Success

Track these key metrics to evaluate and improve your outreach effectiveness: submission rate (platforms submitted to vs. total available), approval rate (published links vs. total submissions), average time to publication (how long platforms take to review and publish), DR distribution (the authority spread of your published backlinks), and overall link velocity (new backlinks acquired per week or month). My Backlink's Outreach dashboard provides real-time completion statistics for each project. Review these numbers weekly to spot trends — if your approval rate drops, review your submission quality; if certain platform categories have low response rates, redirect your efforts to more productive categories.

Efficiency Tip

Create content templates before starting your outreach session. With templates pre-loaded, you can submit to 10+ platforms in a single session by using Quick Fill to auto-populate each platform's form fields in seconds.

Strategy Tip

Sort platforms by DR descending and work from top to bottom. This ensures you secure the highest-value backlinks first while your content is fresh and your submission data is ready.
